Here’s a simple formula for writing a press release:
- State the who, what, when, where, how and why of the story
- Provide supporting details
- Add a quote from someone of importance within the company, someone involved with whatever you’re announcing, or a customer who has shared positive words about your products or services
- Add contact information that you’d permit to be public (not your internal email address, but a press contact or special press-related email)

- Traditionally, press releases open with FOR IMMEDIATE RELEASE. However, you may wish to omit this line as it will prevent the actual news from showing up search engine results in the meta description/preview.
- Some websites ask for a summary to place at the top of your press release. This may seem redundant, but it’s meant to help your press release get noticed in the news feed, so write one that’s unique and compelling.
- Choose a title/headline with a strong hook plus keywords so your news is easily found.
- Write press releases in third person (she, he, they).
- Include the most important information first.
- Add a date, and location if applicable, to the top of your press release
- Add 3 hashtags at the end of your press release.
Press Releases Attract Both Humans and Search Engines
Keep your press release news-ready, and make the writing fact-based, impartial, informative and journalistic. In addition to that, include keywords to help your press release get found. If you self-publish your press release, tuck those keywords into the following areas of your site:
- Your page and post titles
- Your meta descriptions and meta keywords of page headers
- Your H1, H2, H3, H4 headings (etc.)
- Your image alt tags
- Your post tags
- Your keyword links and link titles
- Your social media hashtags when you share the link to the article
Sharing your keyword phrases in those place leaves you some room to be creative when writing the article text. After all, if your article was just a bunch of repeated word strings, no human would stick around to read it.
